Many students wonder whether it is better to send a thank you note or a thank you email. In a digital world, it can be a nice novelty to send a handwritten thank you note, so if you can, this is a nice gesture.

However, it is not always possible to send a thank you note. For instance, you may not have a physical address for the person who funded the scholarship. In this case, a thank you email is completely fine and will also be appreciated.

Robert did a great job of summarizing how Robert planned on using the scholarship. You can see that he included the specific college that he was planning on attending, as well as what he hoped to study at the college.

Thank-you letters are an old-fashioned way to express your gratitude, but their intention is still relevant and valued by those on the receiving end.

Here’s a quick but comprehensive list of the people you should thank—and how to thank them—for helping with your college search.

Who to Write Thank-You Letters To—and How to Write Them

1. start with your teachers.

Your teachers are the primary group of people who prepare you for college. They gave you confidence in your academic skills and introduced you to concepts that may have influenced your career choice.

A few of those teachers have even chipped in by writing recommendation letters that helped present you in the best light to admission boards.

Before writing your thank-you notes, list every teacher you grew close to over the final few years of high school, especially those who were your recommenders. 

Start your thank-you letters by writing about specific memories, and then thank your teachers for their time and energy.

And for the teachers you picked to write recommendation letters, add a sentence or two thanking them for their recommendation.

Don’t forget to share where you will attend school and what you plan to study.

Remember: They spent time out of the classroom to reflect on your strengths and write a letter that possibly changed your life .

Timing: If you’re attending school in-person, it’s best to hand them to the teacher or drop them off at their office or desk after you get your acceptance letter and definitely before graduation so they can cheer you on during your transition to college.

Delivery: If you’re not on campus, you can opt for an emailed note or stick a handwritten one in the mail.

2. Remember Your Guidance Counselor

Everyone has a varying degree of closeness with their high school guidance counselor, but it’s always a good idea to thank them.

They juggle a lot of students’ situations, helping hundreds of students every year, and want the best for all of them.

Mention how you couldn’t have navigated the college application process without them and why you’re grateful for their time.

Finish with the name of your future university and intended major so they can celebrate with you.

It’s best to send this letter when you get your acceptance letter or before graduation. They’ll love knowing what’s going on in your life and may even tack your note in their office for incoming seniors to find as inspiration.

The same goes with counselors as it does for your teachers:

Timing: Give your thank-you to them in person, if you can, or send it via email or snail mail if you’re not going to school each day.

Delivery: If you’re not on campus,  opt for an email or send a handwritten note in the mail.

4. Write to Financial Aid Officers

Financial aid officers typically work for colleges and answer scholarship questions and handle billing issues. They don’t often get the thanks they deserve because students want to forget about their financial stressors soon after resolving them.

Write a quick thank-you letter to the financial officers who make college happen. Talk about how they simplified the financial process and what help meant the most to you.

Timing: Soon after they answer your questions or resolve an issue.

Delivery: You can mail these thank-you letters if you have the address, but an email will suffice too. 

5. Consider the Application Review Board

While you think of who to thank after getting into college, remember the application review board.

You won’t discover any specific identities for people on the review board because it maintains their integrity, but that shouldn’t stop you from expressing your gratitude.

No one gets into college alone.

Often, friends and family are a huge help, with words of wisdom, boundless encouragement and even financial support.

You might have grandparents who helped pay for your first semester or parents who started a college fund while you were young.

Some family members may have sent money in a card to celebrate your new diploma.

All deserve thanks, so be sure to remember them and tell them how you’ll use the funds to jump-start your freshman year.

Other family members and friends likely helped you through studying, final exams, and even picking your last high school classes.

Maybe a few coworkers picked up your shifts so you could attend campus tours or freshman orientation.

A drama teacher may have coached you through an audition monologue for a performing arts school.

Congratulations! You’ve won a scholarship! This is exciting news. However, you have a bit of work ahead of yourself before you actually receive the funding: you need to accept the scholarship, and you need to submit a thank you letter to the donor(s). This handout provides advice on the latter: how to write an effective thank you letter for the reception of scholarship funds. Generally, you have three specific areas to address in this type of letter: the thank you, the “why it matters,” and the formatting. This handout will cover all three.

Thank Your Donor

The core of your letter should focus on the actual gratitude you feel that you were selected for this scholarship. You will want to actually, explicitly say how thankful you are. Phrasings you could adopt or mimic in your letter can include:

  • Thank you for selecting me to receive the [X] scholarship.
  • I feel honored that you selected me to receive the [X] scholarship.
  • My name is {Y}, and I want to thank you for choosing me to receive the [X] scholarship.

You can write it entirely differently than these templates, of course, but hopefully they give you an idea of how to begin your letter. In short, make sure you show gratitude from the first moment all the way through to the end of your letter.

Explain Why It Matters

In addition to the explicit thank you , another aspect of the scholarship thank you letter is to explain how these funds will impact your studies and your future: why it matters. To effectively explain, you will need to offer up some details about yourself, including your past, present, and future. Let’s unpack what might fit into each:

  • where you are from, what’s your family dynamic
  • which life experiences have shaped you
  • how have they led you to winning this scholarship
  • your declared major and relevant studies
  • what you enjoy in your free time
  • whether you belong to any groups
  • what you hope you will achieve once completing college
  • where you hope your career path will take you
  • how this scholarship has paved the way or contributed to this future

Remember that you should keep your letter to one page, around 300-500 words total, so you can’t cover absolutely everything about who you are and what you want to do – focus on what you need to get your point across, and no more.

Professional letters have very specific guidelines for what to include and how it should look. You’ve just finished your interview, and you’re wondering if there’s anything else you can do to cement the great impression you’ve just made on your interviewer. There is one thing that we recommend, and that’s sending a thank you note. Doing so will help you stick out as a thoughtful, respectful candidate who pays attention to details and expresses gratitude to the people who’ve helped you along the way. 

Ideally, you will send your thank you email within 24 hours of your interview. This way, your interviewer knows it wasn’t an afterthought, that you’re genuinely appreciative of the opportunity to interview, and an overall organized, attentive person. Sending a late thank you can make you seem forgetful or sloppy. At most, your thank you can come 48 hours after your interview if you have a busy next day and truly can’t find the time to write it, but we don’t recommend waiting any longer than that. 

Additionally, you’ll want to make sure that your email is sent around normal business hours, or 9 am to 5 pm. It’s okay to stray a little outside this; it’s fine to send an email at 8 am, or 6:30 pm, for example. Sending an email too early or too late, however, can strike your interviewer as odd. You shouldn’t be emailing them at 10 pm or 4 am, as this will seem strange, and you run the risk of your note getting lost in spam or promotional emails, which tend to come in at odd hours. 

Your Interviewer’s Preferred Title

In starting out your email, make sure you use the name that you used during the interview, which includes your interviewer’s first name if that’s how they asked you to refer to them. Although interviewers of course feel greatly important to you, many interviewers are alums who view these conversations as quite casual, so being too formal if they’ve requested the opposite may feel strange to them.

On the flip side, if your interviewer didn’t explicitly state that they would like you to use their first name, make sure that you’re using the correct title—using Mrs. or Mr. instead of Dr. can rub people the wrong way, as can using Mrs. instead of Ms. or vice versa. 

Appreciation for Your Interviewer’s Time

Someone took time out of their day to meet with you and assist in your college process. You should thank them for that! Interviewers who are not working for the school and are merely engaged alums likely weren’t even paid for their time. You don’t need to dwell on the point, but a quick, genuinely appreciative acknowledgement of the time your interviewer invested in you is a great way to begin your email.

Reiterated Interest in the School

Your thank you email is a great place to underscore one more time how excited you are to have the opportunity to interview for, talk about, and present your candidacy for a place at this school. Like with everything in college admissions, the more specific you can be, the better—mentioning the science program you want to join, or the art class you hope to take will remind them how deep your interest goes much more than just talking vaguely about the location.

Something Specific From the Interview

Maybe your interviewer told you about their time working for the student newspaper, or how the Lunar New Year celebration coordinated by students was their favorite event on campus. Perhaps you joked about your support of rival sports teams, or you realized the two of you shared a favorite book. You could even comment on a question you particularly appreciated. 

What’s important is that you demonstrate that this thank you note was written for this interview in particular, with time and care, and that you were paying attention. 

Offer to Keep Them Updated

If you feel especially confident in the bond with your interviewer, you may offer to let them know if you receive an offer of admission. You can do so in the form of a direct statement (“I’ll let you know about any updates to my admissions status”) or an option (“If you would like, I will let you know what admissions decision I receive”). 

Do keep in mind that for interviewers who work in admissions offices, this offer may be redundant or unnecessary. 

While you may have a lot that you want to say about yourself, the school, and why you should be admitted, your thank you email is not the place for that. It may be tempting to add just one thing that you forgot to mention during your interview, but doing this takes away from the purpose of the email as a thank you note, and can make your thank you seem opportunistic and insincere. 

Instead, keep your email brief and to the point. This note should be two to three paragraphs max, and should focus on your appreciation for the interviewer, their time, and the meeting the two of you had. To make the best impression, you should also proofread your email carefully, and get a friend or family member to look it over for typos or grammatical errors before you send it. A thank you email with obvious spelling or writing errors is a terrible final impression to leave on your interviewer. 

Finally, though these emails seem formulaic and it may be tempting to get some help, avoid using AI to write this kind of message. You may believe that the email still sounds original and authentic, but as AI writing becomes more and more prevalent, people are getting better at figuring out when something doesn’t sound quite right. If your interviewer suspects that you’ve used AI to write a thank you email, they may believe that your application isn’t that important to you, after all. 

You may be wondering what all of these elements look like brought together. To answer that question, we’ve included an example of a thank you email a hypothetical student might write after their interview at Vassar:

Thank you for taking the time to meet with me on Saturday! It meant so much that I got to talk to a Vassar alum about the school, especially studying abroad while doing the Vassar/Columbia BA/MPH program. Hearing about your experience in Lisbon settled it for me – if I do pursue the BA/MPH track, I’ll still find a way to get to Europe, too!

I really enjoyed speaking with you, and I’m so grateful that I had the chance to interview for my top school. Your stories about living in Raymond House and the annual Halloween haunted house made Vassar sound like a community and a home, and made me that much more confident that Vassar is where I want to spend the next four years.

Physical thank-you letters can take the form of an informal, handwritten note or a formal, typed letter. How you write the letter should show your understanding of the company and the person you are thanking.

If you know you have time to relay your thanks by mail, a written thank you shows that you've taken an extra step to show your appreciation.

More traditional companies often prefer either a typed letter or a handwritten note. However, if you want to really personalize your message of thanks (for example, if you are thanking a coworker whom you’ve worked with for years), consider a handwritten card.

No matter what form you use to send your thank-you note, there are certain components you should always include.

Address the person appropriately. At the start of the letter, address the person with a proper salutation, such as “Dear Mr. Lastname.” or “Dear Firstname.” If you know the person well, use the person’s first name. Otherwise, address him or her as Mr., Ms., or another appropriate title.

Say thank you. Get to the point of your note quickly. Say the words “thank you” in the first sentence or two, so the person knows why you are writing. If you are sending an email, include the phrase “Thank You” in the subject line as well.

Give (some) specifics. Make sure you specify what you are thanking the individual for. Go into a bit of detail, so the person understands exactly what you appreciate. For example, if you are saying thank you to someone who gave you job advice, explain what you found to be most helpful. If you are saying thank you after a job interview, remind the person of a particular moment from the interview (or remind them why you are a good fit for the job).

Say thank you again. Before signing off, reiterate your appreciation.

Sign off. Use an appropriate closing , such as “Best” or “Sincerely.” Then end with your signature (handwritten and typed if it is a letter, handwritten if it is a card, and typed if it is an email).

Send it as soon as possible. Write and send your note as soon as possible. Don’t delay in sending your thanks,  especially after a job interview . Not sending a thank-you letter after an interview can hurt your chances of getting hired.

Be positive but sincere. Express your gratitude, but don’t go overboard. People can tell when a thank-you note is insincere. For example, if you are thanking an employer after resigning from a job, you should express your thanks, and focus on what you liked about working there. However, don’t lie and say you loved everything if you didn’t really. Focus on the positives, but don’t lie.

Personalize each letter. Personalize each thank-you letter you send. For example, if you send thank-you notes to everyone you interviewed with for a job, add something to each note about your specific conversation with each person. Don’t simply copy and paste the same message for each person—this will come across as insincere.

Keep it brief. Thank-you notes should be short. Keep your note no longer than a couple of concise paragraphs.

Proofread and edit. A thank-you note in the workplace must be professional. This means it should be well written and error free. Proofread your letter carefully before sending it.

Joseph Liu, career change consultant and host of the "Career Relaunch" podcast, says, “For example, you could include one key learning, a memorable takeaway or a reminder of why you’re excited about the role.” By mentioning specific points from the interview, you demonstrate your engagement and attentiveness to the discussion. 
  • Your gratitude. In a few sentences, thank the interviewers for their time and for allowing you to interview for the role. While this may seem obvious, Liu says it’s important to explicitly include the words "thank you" in the email. 
  • The value you could provide. Ideally, you want to demonstrate your ability to add value to the company. To do so, Liu says you could “build on an idea you discussed, share a resource or even offer to introduce the interviewer to a helpful contact.” However, don't stress too much if you're struggling to come up with something valuable to share. It's better to skip this step than to force something into your email that feels inauthentic or forced. 
  • Your interest in the company. In the thank-you email, reiterate why you’re interested in the role and why you’re the right person for it. For example, you could explain how your current skills transfer to the position you interviewed for. 
  • Next steps. Following an interview, Liu says you should send a thank-you email “explicitly stating you hope the hiring manager will give you the opportunity to progress to the next round of interviews.” And if you don’t hear back from the company after a week, send a follow-up email to show your eagerness to pursue this opportunity.

Thank-You Email After an Interview:

A thank-you email is a customary gesture that speaks volumes about your character. So, regardless of how you fared in your first round of interviews, always send a thank-you email within 24 hours. Doing so shows the hiring team you appreciate the opportunity and highlights your professionalism and interest in the position.

Here are two templates to help craft your thank-you emails after an interview:

“Dear Miss Adams, 

It was a pleasure meeting you today at X Company. I genuinely appreciate you taking the time out of your hectic schedule to introduce yourself and hear about my qualifications. Your question on A was excellent, as it allowed me to explore the topic of B with you.

After our meeting, I took some time to reflect upon our conversations, and it dawned on me that while responding to your question on C, I failed to elaborate on D. I believe that providing you with this additional information will help your assessment of my candidacy.

Finally, I hope my background and experience in A, B and C will help demonstrate my ability to offer unparalleled value to your company.

Thank you once again for your valuable time and consideration. Please don't hesitate to contact me if I can provide any other information that will help to make an appropriate evaluation of my candidacy."

Thank you so much for your time today. I truly enjoyed learning more about the growth and future goals of the X team at (insert company name). I believe the knowledge I gained from my previous company's experience with a similar growth spurt could be of great value to your team.

Professional Email for a Status Update:

In most cases, you should hear back from the company within one week (two weeks max) after the first round of interviews. Unless the hiring team has specifically informed you that it’ll take longer, consider sending a follow-up email to check the status. Here’s what it could look like:

“Hi Mary, 

I really enjoyed meeting with you on (insert date) and wanted to express my gratitude for the opportunity to discuss my qualifications and skills for the position of (insert job title).

As you know, I’m very interested in becoming a part of (insert company name), and I’m both excited and eager to potentially join your team. I understand that the selection process can take time, and I would like to follow up with you on the status of my application.

May I kindly ask if there are any updates on the position I applied for? It would be helpful if you could give me a rough timeline for when I can expect to hear back from you.

Again, thank you so much for your consideration. I hope to hear from you soon."

Check Your Work

Your thank-you email shows the hiring manager how you communicate, so double-check it and ensure the spelling and grammar are correct. Loren Margolis, certified career coach and founder of TLS Leaders, says it’s also important to “match the tone of your thank-you emails to the tone of the organization.” For example, if the company has a formal culture, start your greeting with “Dear (name)” or “Hello (name)” instead of “Hey (name).” But if it’s a more casual startup, using “Dear (name)” may make you appear too formal.

Also, remember that some hiring managers might share notes with other team members, so don’t forget to customize your emails based on the person's title, department and interests to avoid looking like you’ve copied and pasted the same message multiple times.

If you hand-write a thank you card it can be even shorter and still carry more impact (in my experience). Something as simple as “Thank you for purchasing [product they bought]. We appreciate it.”
