All the Universities in Kenya wishes have their own “ Student Management System ” also known as “ Student Portal “. This portal helps the student to generate and download their “Admission Letters”. When a student is placed by KUCCPS to join the University for 2024/2025 academic year, that they can download their letters of admission and other related documents online.
- As a matter of fact, the “Kenya Universities and Colleges Central Placement Service” in short “KUCCPS” never generate any Admission Letters for the student. The primary function of this organization is the “placement of government-sponsored students to universities and colleges in Kenya.
- Every student who admitted to colleges or universities, they are responsible to inform you about the time and date to download your letters of admissions. No organization and authorities will send you the Admission Letters to address.
How to download KUCCPS Admission Letters?
Before you download, first you have to visit your University/College student portal page and register your self. If you don’t know your institute name then you should log in to KUCCPS Student Portal and check your institution name in which you are being placed. Now follow the steps below.
- Visit your selected University Website and look for Student Portal.
- Now sign up your self or Login to the portal
- Under Admission Tab, You will find a couple of options.
- Now click on the “ Admission letters ” and Generate it.
- Download: Admission Letter, Admission forms (Student Booklet) and the Fees structure

How To Download Your KUCCPS Admission Letter Online Easily
KUCCPS admission letters are official documents issued to students who have been successfully admitted to university or college through KUCCPS, the placement service.
This guide will show you how to download your KUCCPS admission letter online through the student portal; and also using other methods.
The Kenya Universities and Colleges Central Placement Service coordinates the admission of students to universities, colleges and other institutions across the country under the government sponsorship.
Students placed or admitted through KUCCPS are called government-sponsored or regular students. Your KUCCPS admission letter helps in formalizing the whole admission process after placement.

But first, what are KUCCPS admission letters and why are they important? And how can you get your KUCCPS admission letter online? Let’s find out.

KUCCPS admission letters
As stated earlier a KUCCPS admission letter is an official document issued to a student who has been placed for admission to a university or college or any other institution of higher learning through the Kenya Universities and Colleges Central Placement Service (KUCCPS).
Contrary to popular belief, KUCCPS admission letters are not issued by KUCCPS itself but they are issued by the institution giving the admission offer to the student.
An admission letter will contain your legal name and identity, name and identity of the university/institution issuing it, your academic details including your admission number and programme that you’ve been admitted to join, fees required, contact details and some joining instructions.
Other details may be included too because each university has their own way of handling new admissions.
Kenya’s admission process
In Kenya, there are majorly two ways of joining a university or any other higher education institution. You can join campus as either:
- Regular or government-sponsored student.
- Parallel or self-sponsored student.
Whatever option you choose you will require an admission letter from the institution in order to be legally admitted to your programme of study.
Government sponsored students enjoy fee subsidies where the government meets part of the total tution fee payable by the student. To be considered for this you must apply for placement through KUCCPS . The process is highly competitive.
Self-sponsored students on the other hand get direct admission to their institution of choice and do not have to apply for KUCCPS placement. They are also required to pay full fees.
KUCCPS admission letters are therefore for government-sponsored students.
How to download KUCCPS admission letter online
First you will need to know the university or college that you have been placed to by KUCCPS in order to download your admission letter. Again, like we stated earlier your KUCCPS admission letter will be issued to you by your university/college not KUCCPS.
The work of KUCCPS is to place you to your university or college for admission and then after that it is the mandate of the institution where you have been placed to facilitate your admission process.

- From your institution’s website:
- Go to your the official website of the university/college/institution that you have been placed to.
- Navigate to the “admissions” section.
- You may be asked to enter your credentials to access the admission portal.
- Check the list of students admitted through KUCCPS.
- Click to download your admission letter from there.
- From your institution’s students portal
Sometimes your university or college may available your admission letter for download on your student portal.
- Go to the website of your university/college.
- Click on the student portal link/section.
- Login with your username and password.
- Provide required details.
- Then download your admission letter from the portal.
- Using link sent from your institution
- Usually after KUCCPS releases the placement results, some institutions process the admissions and then send out links for the qualifying students to download their admission letters and joining instructions.
- The link may be sent to your email address or phone number (as used during KUCCPS registration).
- You can also find the link to download your KUCCPS admission letter from the social media pages of your institution, Most institutions post an update on Facebook or Twitter.
- By contacting your university
- The other way that you can get your KUCCPS admission letter is by contacting the university, college or institution that you have been placed to for admission.
- You may want to contact their admission’s office using the official phone number or send them an email online.
- Also, since most institutions are on social media you can contact them via Facebook or Twitter or any other social handles they use.
- Ensure you are interacting with the official communication channel or page to avoid being scammed online. One way to do this is by checking for verification badges, ratings, reviews and user engagement.
- If all the above options do not work for then you should physically visit your institution to get an admission letter from there.
So what next after downloading and getting your KUCCPS admission letter online?
In most cases, the admission letter will be accompanied by joining instructions and the opening dates for the admission phase of your institution. You will also be told the amount of fees payable before joining the programme.
Therefore, the next step is to prepare for your admission. You can start by putting together the list of things and documents required for your admission and then assembe funds that you’ll pay for your fees.
You should also start looking for accomodation as early as possible so that you know where you’ll stay while studying. Usually most universities have on-campus accomodation where students can stay at hostels owned by the institution at a small charge.
However, for some institutions especially those located in major cities and towns like Nairobi CBD and Mombasa, the hostels may not be able to accommodate all students so you are supposed to look for alternative means of accomodation as early as possible.
After applying for KUCCPS and getting your placement results or your KUCCPS admission letter it is possible to change your institution and course if you want to!
How to change your course or institution after admission
To change the institution that you have been placed to you will need to apply for KUCCPS inter-institution transfer (IIT) which is usually opened a few weeks after final placement results are released. The KUCCPS inter-institution transfer which is also sometimes referred to as inter-university transfer is done online through the student portal.

But in order to change your course you will have to talk to your institution during admission and apply for inter-faculty transfer. This is not done through KUCCPS but through the institution itself.
You will need the KUCCPS admission letter that you generated above and other details to confirm that you are indeed admitted to that institution before you can be allowed to switch programmes.

Important note:
Incase you have gotten your admission letter and joining instructions but are unable to join your institution in time due to circumstances, you are required to defer. You can do this by writing a deferement letter to your school and have it approved by the authorized personnel.
Some institutions provide an online portal from where you can apply for deferment of studies after admission. You’ll however need to give convincing reasons as to why you wish to defer.
In most cases, the deferment period is usually a minimum of one a academic year and a maximum of two academic years. Where a student does not report for admission and fails to defer, it is considered that the student has forfeited their admission. That’s why it is important for you to communicate with your university or college in case you are unable to join in time.

Getting your kuccps 2024/2025 results through online portal.

After login you should see a box at the bottom of your dashboard, first page, with a message that reads
Congratulations, followed by a university you have been placed then finally the course you will pursue .

Kuccps provisional placement results
After the first selection, Kuccps releases the list of students who would need to revise their courses during the second selection.
After the first revision, KUCCPS will upload a list of students who would have not been placed. They will then be given a chance to carry out second revision.
Before going through the long list of unplaced students, one can log onto the students’ portal at: https://students.kuccps.net
Then, check on the dash board. For those who have been competitively placed, the following message would be shown;
“You have provisionally secured one of your choices subject to approval by the Placement Service Board.”
You wont be able to know the exact course and university. But, be sure that Kuccps has placed you to one of your preferred courses and university.

Please understand that kuccps never issues calling letters…
So, what happens if you don’t quite get the letter?
Well, you can just visit the specific KMTC campus you were placed to (with the SMS notification confirming your placement there) and request for your KMTC admission letter.
Yes…that is another way to get your KMTC calling letter.
In other words, KUCCPS expects the institutions they have placed you into to take over and organize how you can get you admission letter after placement…KUCCPS role ends at the placement stage.
In fact, it is normal for the KMTC you have been successfully selected to join to contact you themselves –using the telephone number you indicated when applying for placement- with details of how to get your KMTC calling letters.
So first they will send you an SMS congratulating you for getting a place then they will indicate how to get your admission letter and what next…
But as mentioned, you can just go to the KMTC campus you are placed into and get the letter..
Remember for KMTC upgrading courses, you apply through the KMTC website directly and not KUCCPS meaning you have to get your letter from the KMTC portal (just type KMTC student portal admission letters on Google to be taken there). You can also type kmtc.ac.ke admission letters

KUCCPS Publishes Centres Where Applicants Can Get Help Countrywide
T he Kenya Universities and Colleges Central Placement Service ( KUCCPS ) has published application support centres which applicants can visit for guidance on the first revision and application process.
In a statement on March 26, KUCCPS said the applicants can visit the centres distributed across the country throughout the revision period.
“Applicants seeking guidance for the First Revision of Choices for placement should visit the following institutions until April 4, 2024,” the statement read.
KUCCPS said applicants in Baringo can visit Baringo Technical College for assistance while those in Bomet can go to Sot Technical Training Institute.
